
How to Get Your Signup Data Out of Your Email Tool (And Into Something You Own)
I want to talk about something most people never think about, and it's quietly costing them flexibility down the road: where your signup data actually lives.
When someone subscribes to your list through a freebie, a training, a sale, whatever it is, that information goes into your email tool. And for most people, that's the end of the story. It just sits there.
Your email tool is great at one thing, which is sending emails. But that's really all you can do with the data while it's stuck in there:
- You can broadcast to it
- You can fight with the filters to find a slice of it
- And that's about the whole list 😅
Your signups are an asset. You should own that asset somewhere you control.
For me that's a database I own. It could just as easily be a spreadsheet. The tool doesn't matter. What matters is that the data is yours, and it's somewhere you can actually sort, filter, and use.
Why I built this
My signup data for freebies, live demos, open houses, all of it, was trapped in my email tool. Which is fine for sending emails and useless the second I wanted to study it or do anything else with it.
So now every signup also lands in a database I own, with the details I actually care about: the date, the source, and what they signed up for. New subscribers flow in automatically, so I never copy anyone over by hand. Most email tools can send a webhook from an automation; if yours can't, Pabbly or Zapier will bridge it, and if you're on Simple Business Suite it sends webhooks and has a direct Airtable integration built in.
Here's a real example. When I run a live open house for The Shortcut, people sign up through a form in my email tool and get added to my list like normal. But they also get added to my database, where I can see who signed up, whether they're already a member, and if they join later, the date they did.
That's when the trends show up. Are people joining right away, or slower than I'd like? Now I know, and I can tweak my marketing instead of guessing.
Here's the opinion I'd push on. People treat their email tool as the home for their audience. It isn't. It's the thing that sends the emails. The home should be a place you control, where the data outlives whatever tool you happen to be paying for this year.
Because tools change. Prices change. Someday you might switch platforms. When you own your data, you always have a clean source of truth that comes with you no matter what 🙌

The key to making this useful is capturing the right things when the signup comes in. Don't just grab a name and email. Grab:
- The date. So you can see when signups spike and how long people take to buy
- The source. Which freebie, which event, which partner. This is the field that makes trends visible
- What they opted in for. So later you can pull "everyone who grabbed this" and email exactly them
And decide what you'll use the data for before you build anything. If you know you want to email by source, or track who converts from a bundle or a summit into a paid customer, that tells you exactly which fields to capture. The most important thing is to capture it first. Everything else comes later.
Here's how to design the home for your data
This is the prompt I'd start with. It works out what you'll use the data for and tells you exactly which fields to capture, so your table is useful later instead of a dump of names. Drop it into whatever AI tool you use.

Run it before you touch your email tool. The fields it gives you are the whole design; the automation that fills them is the easy part.

Let's be real about AI dashboards
If your email tool has an AI connector (mine does), you can have AI go into it directly and pull the data for you. Trends, dashboards, which subscribers are performing and which ones should be sent through a win-back sequence. It's incredibly powerful and I recommend it.
But here's my line: that's in addition to owning the data, not instead of it. I always keep the copy in my own database, just in case I can't access my AI tool one day, or I want to move to a different one.
