As an entrepreneur, it’s easy to get overwhelmed with a growing list of daily tasks, but understanding how to effectively delegate can be a game changer for your time and your business’s growth.
As a business evolves, it often reaches a point where the owner feels stretched too thin. Donna emphasizes the importance of recognizing when you’re operating at 60-70% capacity and starting to think about hiring help before you hit burnout.
Instead of waiting until you're overwhelmed, take proactive steps to identify which tasks could be delegated.
To delegate effectively, categorize your tasks into two buckets: maintenance and growth.
Maintenance Tasks: These are the everyday tasks that keep your business running, such as bookkeeping, social media management, and administrative work. While necessary, these tasks don’t directly contribute to your business's growth.
Growth Tasks: These tasks drive your business forward, such as networking, marketing, and strategic planning. To grow, you need to spend more time on these activities.
By offloading maintenance tasks, you free up precious hours to concentrate on growth.
Before hiring, it's essential to create clear job descriptions. Donna advises that these descriptions should include not just tasks but also the values of your business.
When your values align with those of your employees, it fosters a harmonious working relationship, making the teamwork more efficient.
Once a hire is made, a structured onboarding process is crucial. Share all the relevant information they need to succeed, from company values to accessing essential documents.
Donna recommends creating Standard Operating Procedures (SOPs) that are easy to follow. One idea she shares is to record yourself doing tasks and provide these videos as training materials—this can help new team members feel more confident and informed.
Loom is a great tool to use for recording your screen and sharing with your team.
Steph shares how she uses the AI features in Loom to be more productive as well.
Donna highlights that delegation is a skill that needs to be practiced, much like a muscle. Start small by delegating low-risk tasks to build your confidence. As you gain experience in delegation, gradually take on more significant responsibilities.
It's crucial to understand that letting go of tasks doesn't mean everything will be done perfectly. Donna encourages business owners to accept a standard of 80% completion, realizing that this approach can actually lead to more efficiency and growth.
While it’s important to maintain quality, striving for perfection can lead to burnout and frustration.
One practical tool Donna suggests is allocating time to a CEO Power Hour each week.
During this time, focus on reflecting on your goals, assessing your company’s performance, and setting priorities for the upcoming week. It's a dedicated space where you can think strategically about your business rather than getting lost in day-to-day activities.
Before hiring, it’s essential to look at what tasks can be automated. Automations can save you time and money and streamline your processes significantly. If you're unsure where to start, many tools offer fantastic automation capabilities that can revolutionize how your business operates.
